Flat Possession & Handover Checklist
Quick answer
A possession handover checklist has three parts: collect the documents (possession letter, no-dues statement, warranty cards, approved unit plan), record both meter readings with photographs, then check every room — doors, windows, switches, sockets, taps, drains, tiles, false ceiling, kitchen fittings and balcony — and list every defect in writing before you accept the keys.

Treat handover as an inspection, not a ceremony
Possession day feels celebratory, and that is exactly why buyers sign the acceptance letter after a ten-minute walk-through. Once you have signed that the home is received in good condition, every conversation afterwards becomes a favour rather than an obligation.
Plan for two to three hours in the flat. Go in daylight — you cannot judge a tile joint or a paint finish under a bulb. Take a second person, because one of you reads the list while the other tests. Carry a torch, a phone charger, a small spirit level, a measuring tape, masking tape to mark defects, a copy of the specification sheet and a copy of your unit plan.
Work in one direction through the home and finish each room completely before moving on. A possession handover checklist done room by room catches roughly twice as much as one done system by system, because you notice the small things while you are standing in front of them.
Part 1: documents to collect on the day
- Possession letter / offer of possession and the final demand with your payment receipt against it.
- No-dues statement confirming nothing further is outstanding.
- Approved plan of your own unit, and if possible photographs or drawings of the electrical and plumbing routes before you start drilling anything.
- Warranty cards and manuals for the fittings and any appliances, with dates of installation.
- Electricity and water connection details, consumer number, and the meter serial numbers.
- Maintenance details — who runs the building, what the monthly charge will be, and what it covers.
- Contact escalation list — the site engineer, the customer-care number, and an email that creates a record.
Photograph both meters on the day with the reading visible and the date on your phone. Six months later, a disputed opening reading is impossible to argue without that picture. The documents that arrive earlier in the journey are listed in documents to buy a flat in Uttar Pradesh.
Part 2: room-by-room checks
- Entrance and main door: the door closes flush without lifting, the frame is square, the smart lock pairs, opens with code and with the mechanical key, and the battery compartment is accessible. Check the eye-piece and the bell.
- Doors throughout: no scraping on the floor, handles tight, stoppers fitted, and the door does not swing shut on its own — a sign the frame is out of plumb.
- Windows: open and close fully, lock, and the beading is continuous. Pour a little water on the outer sill and watch where it goes.
- Electrical: test every switch and socket with a charger or a tester, count points against the drawing, check that the AC points are at the right height, and that the distribution board is labelled and every breaker works.
- Plumbing: run every tap at full flow, check pressure on the top floor, look under every basin and sink for damp, fill and drain the floor traps, flush every WC twice and check the health faucet.
- Toilets: sensor lights trigger and switch off, no standing water after the floor drains, the slope runs towards the trap, and the counter joints are sealed.
- Floors: tap every tile with a coin and listen for a hollow sound, look along the surface at eye level for lippage, check that the skirting line is straight and the grout is uniform.
- Walls and ceiling: look along the wall with a torch held flat against it — undulations and roller marks appear instantly. Check corners for cracks.
- False ceiling: straight lines, tight joints, no stains, and access left where a light driver sits.
- Kitchen: counter level and joint sealed, drawers and hinges smooth, sink drains fast, chimney and hob points present, and a water point for the purifier.
- Balcony: railing firm with no movement at the base, drain outlet clear, and water drains away from the door threshold rather than towards it.
A quick reference table for the walk-through

|---|---|
| Electrical | Every point live, DB labelled, breakers trip, AC and geyser points correct |
| Plumbing | Full flow at every tap, no damp under fittings, traps drain, WCs flush twice |
| Tiles and floor | No hollow sound, no lippage, uniform grout, straight skirting |
| Paint and ceiling | No undulation under torch light, no corner cracks, false ceiling joints tight |
| Kitchen | Counter level and sealed, drawers smooth, chimney and purifier points present |
| Balcony and terrace | Railing firm, slope away from door, drain clear |
| Documents | Possession letter, no-dues, warranties, meter photos, unit plan |
Use the specification sheet as your scorecard
Do not inspect from memory. Print the specification list and tick each item in the room where it belongs. At Sorrel Heights that means premium tile flooring, a designer false ceiling in all rooms, Cera or equivalent fittings with sensor lights in the toilets, a modular kitchen with a granite or marble counter, a smart lock on the front door, concealed wiring with LED lights, switches and sockets, and lift access to all floors — the full list is on Sorrel Heights specifications.
Where a brand differs from the list, note the brand actually installed and ask for confirmation in writing that it is of equal or better quality. Sorrel Buildcon lists Cera, Tata Steel, UltraTech, Ambuja Cement, Johnson Lifts, Anchor Panasonic, Havells, Birla White, Rathi Steel, AKG and Sakarni among its materials — see construction quality. Common area items matter too: the lift, the recreation room for yoga, exercise, carrom and chess, and the 24×7 smart motion-detection camera.
What to do with the defects you find
Number every defect, photograph it with something in frame for scale, note the room and the exact location, and put it all in one document. That document is your snag list, and how to make a snag list gives you a table you can copy.
Send it by email, not verbally, and ask for a date for each item. Where a defect is cosmetic, it is usually reasonable to take possession with a written commitment to fix it. Where it affects safety or water — a leak, an electrical fault, a balcony that drains inwards — hold the acceptance until it is resolved, and say so politely and in writing.
Remember your statutory cushion: the RERA Act gives you five years from possession to report structural defects or defects in workmanship, quality or services for rectification. That is not a reason to skip the inspection, but it is a reason not to panic about something you discover in month three.
Between handover and moving in
There is usually a gap of a few weeks, and it is the best window you will ever get. The flat is empty, so this is when you do wardrobes, any extra electrical points, curtain rods, the chimney and the water purifier, and a deep clean. Once furniture arrives, everything costs more and takes longer.
Use the gap for the paperwork too: electricity connection transfer, water and maintenance registration, address change on bank and Aadhaar records, society or RWA formalities, and internet installation booked before you need it. The full sequence is in the moving-in checklist, and if you are planning storage and furniture first, furnishing a 2BHK + Study has the measurements to work from.
Before you get there — see the home and the list
The best handover is one you have prepared for months earlier by knowing exactly what was promised. Ask Sorrel Buildcon for the current price list & payment plan sheet and the specification list together, walk the layout you are buying on the floor plans, and book a site visit through contact the Sorrel team so you can see the stage of construction for yourself.
Before the inspection day
- Ask for a pre-possession inspection slot in daylight.
- Carry the brochure specification list and your floor plan.
- Take a torch, charger, spirit level and a notebook.
- Bring a family member — two pairs of eyes catch more.
Common areas to check too
Walk the lift, staircase, parking, entrance and terrace. Check that the lift works smoothly, emergency lighting is in place and the parking slot you were allotted is marked. The common areas are part of what you paid for through super area.
After you sign the possession letter
Note meter readings with a photo, collect all keys and access cards, change smart-lock codes and keep the warranty cards in your document folder. Then plan your move with our moving-in checklist.
