Home Loan Documents Checklist for a New Flat
Quick answer
A standard home loan documents checklist has four parts: KYC (PAN, Aadhaar, address proof, photographs), income proof (salary slips and Form 16, or two to three years of ITRs with financials for the self-employed), six to twelve months of bank statements, and the property papers from the builder. Missing or mismatched documents are the most common reason a sanction gets delayed.

Why the home loan documents checklist decides your timeline
Banks are not slow by nature; files are slow because they are incomplete. In practice a well-prepared application moves from submission to sanction in about seven to fifteen working days, while a file with a name mismatch, an unsigned page or a missing statement can drift for a month. Since you are usually working against a booking date or a payment milestone, the documents are the part of the process most worth over-preparing.
Work through this home loan documents checklist in one sitting, scan everything at 300 dpi into a single folder, name the files plainly, and keep a printed set in a ring file. You will be asked for the same papers by the bank, the legal verifier and the technical valuer, and having them ready twice over is far easier than hunting for them each time.
Part 1 — KYC and application papers, for every applicant
- Completed and signed loan application form.
- PAN card (mandatory for the loan) and Aadhaar.
- Identity proof: passport, voter ID or driving licence.
- Address proof: Aadhaar, passport, latest electricity or piped-gas bill, or registered rent agreement.
- Three to four recent passport-size photographs per applicant.
- Signature verification from your bank, if asked.
- Processing-fee cheque or online payment reference.
Every co-applicant submits the full KYC set, including a co-applicant who contributes no income but is a co-owner. Check that the spelling of your name is identical across PAN, Aadhaar and bank records — a middle name present in one and missing in another is the single most common cause of a query.
Part 2 — income proof, salaried vs self-employed
| Document | Salaried | Self-employed / business |
|---|---|---|
| Income proof | Last 3–6 salary slips | ITRs for 2–3 years with computation |
| Tax record | Form 16 for 2 years, or ITRs | Audited balance sheet and profit & loss, where applicable |
| Bank statements | 6 months, salary account | 12 months, business and personal accounts |
| Business / job proof | Appointment or employment letter, ID card | GST registration, Udyam, shop licence or partnership deed |
| Other income | Rent agreement, interest certificates | Rent agreement, Form 26AS |
| Professional proof | Not applicable | Degree or practice certificate for doctors, CAs, architects |
Variable pay is treated cautiously: bonuses and incentives are often averaged over two years or counted only in part. Our guide on home loan eligibility basics explains how the accepted income figure turns into a sanction amount.
Part 3 — existing loan and obligation papers
The bank wants a full picture of what you already pay each month, because that comes straight off your repayment capacity.
- Sanction letters for any running loans — car, personal, education, gold, consumer durable.
- Latest statement of account for each, showing outstanding balance and EMI.
- Loan closure or no-dues certificates for loans you have recently repaid.
- Credit card statements for the last three months, if asked.
- Rent receipts, if you claim HRA and the lender wants to reconcile outgo.
Closing one small personal loan or clearing a revolving card balance before you apply can improve the sanction more than any amount of negotiation. Pull your own credit report first so you can fix errors before the bank sees them.
Part 4 — property papers for an under-construction flat
For a home bought directly from a developer, most of this set comes from the builder rather than from you.
- Allotment letter or booking confirmation in the applicant's name.
- Agreement for sale, stamped as required.
- Builder's demand letter for the instalment being funded.
- Payment receipts for amounts already paid by you.
- Approved building plans, sanction and commencement approvals.
- Title documents of the land and the chain of ownership.
- RERA registration details of the project.
- Builder's bank account details for disbursement, on letterhead.
- NOC from the developer for creating a mortgage, where applicable.
At Sorrel Heights, the team shares project papers on request — see the booking process and read which clauses to read in the agreement for sale before you sign. Verification steps are covered in how to verify a UP-RERA project.
Special cases: NRI, women buyers and joint applications
NRI applicants add a valid passport and visa, overseas address proof, an employment contract or appointment letter, recent overseas salary slips, NRE or NRO account statements, and usually a notarised or apostilled power of attorney for someone in India to sign on their behalf. Our NRI guide to buying in Greater Noida West sets out the sequence.
Joint applications need the full document set from each applicant plus proof of relationship where the bank asks for it. Women buyers should note that some lenders offer a marginally lower rate and Uttar Pradesh allows a stamp-duty rebate within a limit for women purchasers — see buying a home as a woman in UP and confirm current rules with your bank and a tax advisor.
The seven reasons files come back
- Name mismatch across PAN, Aadhaar, bank records and the allotment letter.
- Statement gaps — a missing month, or a statement without the bank's stamp or a verifiable digital signature.
- Unexplained large credits in the bank account. Keep a one-line note and proof for each.
- Cash-heavy income with no matching ITR.
- Unsigned or undated pages in the application or the agreement.
- Expired documents — an address proof older than the bank's window, or a lapsed passport for an NRI file.
- Address mismatch between the application and the KYC documents.
Fix these before submission and you remove most of the back-and-forth. Getting an in-principle approval first also flushes out problems early — read home loan pre-approval benefits.
Get the project papers and start the file
Once your own side of the home loan documents checklist is complete, the only missing pieces are the builder's. Sorrel Buildcon sells direct, with no middleman, from its office at D-161, Sector 3, Greater Noida West near Ace City 201318, open Monday to Saturday 9am to 6pm.
Ask for the current indicative price list & payment plan sheet for Sorrel Heights, look at the 2BHK + Study and 3BHK homes, read through the step-by-step process, and call or book a visit so the team can hand over the allotment letter, agreement and approvals your bank will ask for.
Tips for a faster sanction
- Keep PAN and Aadhaar details identical across documents.
- Explain any gaps in employment in a short letter.
- Provide complete bank statements, not screenshots.
- Respond to lender queries the same day.
Under-construction disbursement
For an under-construction home, the bank disburses in stages against the builder's demand letters. Share each demand letter promptly with the bank so payments reach the builder on time and you avoid late-payment interest.
After sanction
Keep the sanction letter, loan agreement and disbursement records in your property folder. You will need them for tax filings and when the loan is closed.
